Behavioral Health Practice Manager
WellSpring Child and Family Psychology is seeking a Practice Manager to run daily operations at a flourishing private psychology and psychiatry practice. This individual will oversee all administrative duties of the practice, including overseeing patient intakes, managing provider schedules, billing and collections, customer service, insurance preauthorizations, coordinating with pharmacy and lab, and working closely with directors to help ensure an efficient, effective, and supportive office environment for both patients and providers.

Minimum Qualifications:
- 2+ years experience in medical, dental, or behavioral healthcare setting OR associates/bachelor’s degree in related field

- this is an in-person position at primary location, but may require periodic travel to second location
- training and/or experience in management, basic healthcare billing, and working with insurance plans/claims processing preferred
Responsibilities:
The Practice Manager will:
- Streamline office procedures to ensure efficient and effective practice functioning, including developing policies, procedures, and systems as needed to help the office run smoothly. They will ensure procedural manuals are kept current, and that the office adheres to these policies and procedures on a daily basis.
- Oversee all patient intakes to the practice, ensuring appropriate matching of patients with providers, appointment scheduling, managing provider schedules and coordinating directly with providers to ensure desired caseloads are maintained, and aiding each patient with the intake process.
- Develop a basic understanding of behavioral health conditions and services (training is available for those without prior experience in the behavioral health field) in order to best meet the needs of patients.
- Serve as the “face” of WellSpring, ensuring that our highest standard of patient care and customer service is provided to each individual they interact with. They will help resolve any patient concerns with understanding and empathy while also adhering to WellSpring’s policies and procedures.
- Ensure compliance with Health Insurance Portability and Accountability Act (HIPAA)
- Work closely with providers to aid in lab and prescription orders, patient scheduling, resolving patient issues, and providing patient referrals and resources as needed.
- Oversee all daily operations including: collecting patient payments, managing collections, regularly monitoring all charts to ensure accounts are up-to-date, scanning insurance cards, assisting with insurance preauthorization or other issues, resolving billing issues as needed, and monitoring office supplies.
- Serve as primary contact for tech support, electronic health records, building management, contractors, and other service providers as needed (note: this task may, infrequently, require after-hours attention)
- Managing phone and general email daily, and ensuring prompt, polite responses to all inquiries
- Coordinating classes, groups, trainings and other office events as needed
- Submitting insurance claims, secondary claims, and monitoring insurance remittance, checking benefits, and resolving insurance issues directly with insurance companies as needed (note: the practice is only in network with 3 insurance providers)
- Assisting with the hiring process, including training, credentialing support, and onboarding.
- Supporting cohesion and morale in the office, including assisting with special office events.
